How to ask for a GRFP letter of recommendation

Pick writers who know your work, ask early, send a one-page brief, and list them in Research.gov the day they agree. NSF's page for reference writers1 says the most effective writers can give "detailed and specific information" about how you meet the review criteria. A mentor who watched you work beats a famous name who didn't. The agency's tips for applicants2 add a second test: "Try not to select three people who will say the same thing." Ask four or five, as NSF suggests, so one missing letter doesn't leave you short.

In 2026, letters were due 52 days after NSF posted the solicitation, so line up writers before the next one appears. Keep the email short: why them, the deadline and an easy out. Send a one-page brief, plus your statements, transcripts and CV1, which NSF says applicants should be ready to share. Give your project in two sentences, then two or three moments they saw, each tied to an NSF factor such as "Persist and overcome challenges." NSF even advises writers to discuss what you may be "too modest to mention," so include it.

When someone agrees, confirm the exact email address they want used. NSF's upload invitation1 comes from Rgov-No-Reply@nsf.gov once you list them, not when you submit your application. If nothing arrives, the agency's FAQ for writers3 says to check the address and the spam folder, or try another address. Send a short reminder a week before letters are due and another two days out, with the cutoff in their time zone. When the letter is in, thank them, and write again in April to say how it went.

NSF's 2026–27 letter rules

What NSF requires of GRFP letters of recommendation

NSF set these rules for the 2026–27 cycle, which has now closed, in NSF 26-5264 and its pages for applicants and writers. Before you ask for next cycle's letters, check the next solicitation for its dates and any changed rules.

RuleWhat NSF says
Who can writeAnyone who isn't a member of your family.
How manyThree writers are required and up to five allowed. At least two letters must arrive for an application to be reviewed.
Which letters countNSF includes "the top three letters of the applicant's preference." Writers "will not be informed of the preferred order."
DeadlineFor 2026–27, Friday, October 16, 2026 at 8:00 p.m. Eastern, before any application was due. Letters "will not be accepted after 8:00 p.m. ET."
InvitationOnce you enter a writer's name and email, NSF sends them an invitation to upload a PDF, from Rgov-No-Reply@nsf.gov. NSF calls an exact address "crucial to matching the reference writer and the applicant."
ChangesThe list of writers "cannot be changed after submission," so check every email address before you submit. Until then, you can fix an address and have the invitation resent.
FormatTwo pages at most, which the upload system enforces. A signed PDF, on letterhead if available, in 11-point or larger Times New Roman, single-spaced, with 1-inch margins.
What letters coverIntellectual Merit, Broader Impacts and how the writer knows you. Also your academic potential, prior and proposed research, and your potential for "contributing to a globally-engaged United States science and engineering workforce."
Research supervisorsNSF asks them to comment on how original your research statement is, and on what role, if any, they played in your application.

Quoted or summarized from NSF 26-5264, NSF's page for reference writers1, its reference writer FAQ3 and its applicant FAQ5, checked October 29, 2026. If NSF's pages change, follow NSF.

How it works

What should I send my GRFP letter writers?

River writes both things a writer needs from you: the request and a one-page brief they can write from. Drop your CV or paste what you did with this writer, and tap who they are if you like. River picks out the work this person saw, and says so when it has to guess. Then it writes the request email, the brief, two reminders and a thank-you note into one doc in your workspace. It never writes the letter, and every story comes from what you gave it.

The brief follows what NSF asks letters to cover. Your evidence is paired with the Intellectual Merit factors and Broader Impacts outcomes it shows, in NSF's words. The letter rules from NSF 26-5264 are quoted at the end. For a research mentor, River quotes NSF's request to comment on your research statement's originality and offers your draft plan in the email. Where your notes run thin, it leaves a blank rather than inventing a moment. Any sentence it words for you carries a note to rewrite it in your voice.

The 2026–27 cycle has closed: letters were due October 16, 2026, and NSF expects results by early April 2027. Start a packet now and River notes at the top that the deadline has passed, then leaves each date blank. Next cycle, test your topic with the eligibility checker, draft your personal statement early so writers can read it, and track each writer on the GRFP checklist. If a writer asks for a structure, share the letter of recommendation template.

How it works

From your CV to a ready request

  1. Drop your CV

Drop your CV or paste what you did with this writer, then optionally tap who they are.

  2. River finds your stories

It picks the work this writer saw and pairs each piece of evidence with NSF's criteria.

  3. Get your packet

The request email, a one-page brief, two reminders and a thank-you note land in one doc.

  4. Send and list them

Rewrite any flagged line in your voice, send the email, and add the writer in Research.gov once they say yes.

Example

Dear Dr. [Last name],

The ask

I'm applying for the NSF Graduate Research Fellowship this fall. Would you be willing to write one of my reference letters?

Why you

You supervised my two summers in the soil ecology lab, including the week I rebuilt the field sensors after the storm.

Deadline

Letters are due [deadline]. Once I list you, NSF will email you an upload link from Rgov-No-Reply@nsf.gov, so please check your spam folder.

Easy out

I've attached a one-page brief. If this term is too full, I completely understand.

Thank you, [Your name]

What you'll get

The request email and one-page brief a GRFP letter writer needs

  • A short request email that says why this writer, the deadline, and an easy out
  • A one-page brief: your project, stories only they can tell, and NSF's letter rules
  • Two reminders timed to the letter deadline, and a thank-you note for afterward

Before and after

What you did together in. A ready request back.

What you paste (example)

Asking my research mentor. Two summers in her soil ecology lab, 2025 and 2026. After a storm knocked out the field sensors, I rebuilt the array and kept the 2026 season's data going. Poster at the department symposium. I train two first-year students in the lab. Want to study how drought changes soil microbes.

What you get (example)

Subject: Reference letter for my NSF GRFP application Dear Dr. [Last name], I'm applying for the NSF Graduate Research Fellowship, and you have seen my research up close for two summers. Would you write one of my reference letters? They're due Friday, October 16, 2026, by 8:00 p.m. Eastern. Brief · Stories only you can tell 1. The storm that knocked out the field sensors, and how I rebuilt the array to keep the 2026 season's data going. 2. The two first-year students I train in the lab. Reminders: Friday, October 9 and Wednesday, October 14.

Shortened from a packet made in late September 2026, before letters were due. River writes the ask and the brief, never the letter, and leaves a blank wherever your notes run out.

What lands in your doc

What's in your letter request

  • A request email under 150 words that says why this writer and offers an easy out
  • The deadline and how NSF's invitation will arrive, so your writer knows to watch for it
  • Two or three stories only this writer can tell, taken from your CV or notes, never invented
  • Your Intellectual Merit and Broader Impacts evidence, each paired with the factor or outcome NSF lists
  • NSF's letter requirements and format rules, quoted, so your writer has them on one page
  • Two short reminders, a week and two days before letters are due, and a thank-you note
  • Five rules students trip on, from typing each writer's email exactly to the list that locks

Questions GRFP applicants ask

Common questions

How many letters of recommendation does the NSF GRFP need?

You must list at least three writers, and you can list up to five. NSF includes the three highest-ranked letters that arrive, and writers aren't told your ranking. Its applicant FAQ5 says an application "will not be reviewed without at least two letters," so a fourth or fifth writer protects you if someone runs late.

When are GRFP reference letters due?

For the 2026–27 cycle, they were due Friday, October 16, 2026, at 8:00 p.m. Eastern, before every field's application deadline (October 19 to 23). That cycle has closed, with results coming by early April 2027. NSF sets new dates in each year's solicitation, and this cycle's, NSF 26-5264, was posted August 25, 2026.

Who should write my GRFP letters?

People who have seen your work closely and can describe it in detail. Anyone but a family member can write. If you have done research, at least one writer should be someone who supervised it, since NSF's review criteria4 include your ability to plan and conduct research. Pick the others to cover different strengths, such as teaching, outreach or a job.

Can I use the same letters for graduate school applications?

Often the same writers, yes, but not the same upload. A letter sent to NSF stays with your GRFP application, and each graduate program asks for letters through its own application. Make it easy on your writers: send one list of every program and its deadline, with a line on why you fit each.

How do I ask for a GRFP letter of recommendation with River?

Drop your CV or paste what you did with this writer in the box at the top of this page, and optionally tap who they are. River writes the request email, a one-page brief, two reminders and a thank-you note into your free River workspace. It never writes the letter itself. If a writer asks you to draft one, offer the brief instead.

Is my CV used to train AI?

No. River's privacy policy says it does not use your documents, drafts or other personal content to train AI models. The AI services that process your requests do so under agreements that bar them from training on it. Your CV and drafts are stored in your own workspace, and you can delete them at any time.

Is the GRFP letter request tool free?

Yes, it is free to start. Your request, brief, reminders and thank-you note open in a River workspace, where you can edit them, share them or ask River to change them. Paid plans add more AI use and access to the most advanced models.
