How to file 1099s for the 2026 tax year

Filing 1099s means reporting to the IRS, and to each payee, what your business paid people and firms that aren't its employees. In the US, a contractor you paid at least $2,000 during 2026 generally gets a Form 1099-NEC, a threshold that was $600 through 2025. A good 1099 filing checklist runs in order: who gets a form, W-9s, tax ID checks, totals by box, then filing, with Form 1099-NEC due February 1, 2027.

Most of the work happens before January: a W-9 before each first payment, and every name and number checked against IRS records.

Decide who gets a 1099

Start with everyone the business paid during the year. A payment generally counts as nonemployee compensation, reported on Form 1099-NEC1, when all four of these are true:

  • The payee isn't your employee.
  • You paid for services in the course of your business, nonprofits and government agencies included.
  • The payee is an individual, partnership or estate, or in some cases a corporation.
  • You paid them at least $2,000 during the year.

Some payments need no form even above $2,000. Payments to a corporation, including an LLC taxed as one, generally need no form, though lawyers and medical providers still get one. Payments for goods, freight, storage and phone service are exempt. So are payments by card or through a third-party payment network, which belong on the processor's Form 1099-K. Checks, cash and bank transfers still count.

Then confirm each payee really is a contractor. The IRS weighs behavioral control, financial control and the type of relationship2, and says to document each factor. If someone works your hours, with your tools, for you alone, run a contractor vs employee classification check first.

Get a W-9, then check the tax ID

Ask each new payee for Form W-9 before the first payment. It gives you their legal name and taxpayer identification number (TIN). IRS Publication 1281 says to ask for the TIN when the transaction occurs3, and to start backup withholding if none arrives. You hold back 24% of each payment, even from a contractor still waiting for a number.

A W-9 doesn't prove the number is right. The IRS's TIN Matching service4 checks name and TIN pairs against its records before you file. Payers and their authorized agents apply through an IRS account. A first-time filer may not qualify, since the IRS only admits payers that filed Forms 1099 within the last two years.

Check names as closely as numbers. For a sole proprietor, the owner's own name goes on the first name line5, with any business name on the second. A single-member LLC that hasn't chosen corporate tax treatment works the same way.

Ask at vendor setup

Request the W-9 alongside the signed independent contractor agreement, before any invoice is paid. Chasing W-9s in January from people who finished in March is the slow way.

Total each payee's payments by box

Add up what you paid each payee in the calendar year, not what they invoiced. Include parts and materials supplied with a service, and travel costs you reimbursed that the contractor didn't account for. The line that triggers a form differs by box1:

Which form and box, and when a form is needed (2026)

ExampleSorting one small business's payeesAn illustrative example written for this guide

Marlow Street Bakery, payments made in 2026

Mia Chen, a photographer trading as Larkspur Studio: $2,450 by check. Form 1099-NEC in her own name, studio name on the second line.

Dana Ruiz, logo designer: $1,900 by bank transfer. No form: under $2,000 for the year.

Hale & Ortiz, P.C., the bakery's lawyers: $2,600 in fees. Form 1099-NEC, since legal fees are reported even when the firm is a corporation.

An oven repair by a sole proprietor, paid by credit card: $3,100. No form, since card payments go on Form 1099-K.

  • The old line. Under the $600 line used through 2025, Dana Ruiz would have needed a form too.
  • How you paid. The same oven repair paid by check would have needed a 1099-NEC.

Count your returns before choosing paper

A business filing 10 or more information returns in a year must file them electronically6, counting Forms W-2 along with every 1099. If the bakery above has eight employees, its two 1099s and eight W-2s make 10, so it must e-file. A bookkeeper counts each client separately.

For 2026 forms, the IRS accepts e-filed 1099s only through IRIS, its Information Returns Intake System. The older FIRE system shuts down at the end of 20265. The IRIS portal is free and takes typed entries or a CSV upload. It needs a Transmitter Control Code, which the IRS says typically takes up to 45 business days to issue, so apply early.

Under 10 returns, paper is allowed, but order official forms from the IRS: you can't file a Copy A printed from its website.

Meet the 1099 filing deadlines

When each copy of a 2026 form is due

FormPayee's copyIRS copy
1099-NECFebruary 1, 2027February 1, 2027, on paper or e-filed
1099-MISCFebruary 1, 2027, or February 16 if box 8 or 10 is usedMarch 1, 2027 on paper, or March 31 if e-filed

Each rule date (January 31, February 15, February 28) lands on a weekend or holiday in 2027 and moves to the next business day.

Form 1099-NEC has no automatic extension5. For most other returns, Form 8809 buys 30 days if you file it by the original due date. Penalties apply per form, separately for the IRS copy and the payee's. The IRS's latest figures, for returns due in 2026, are $60 a form up to 30 days late, $130 through August 1 and $340 after that6.

Before you file

  • Every payee has a signed W-9, or backup withholding has started
  • Name and TIN pairs have been through TIN Matching, if you qualify
  • Sole proprietors appear under their own names
  • Totals cover the full year, leave out card payments and sit in the right box
  • Each business's return count, W-2s included, has settled e-file or paper
  • Payee copies are ready to send by February 1, 2027

Handle notices after you file

The IRS lists missing and mismatched TINs on a CP2100 or CP2100A notice, sent twice a year, in October and the following April7. Where the list agrees with your records, you have 15 business days to send the payee a B notice3 asking for the right details. If no signed W-9 comes back, start backup withholding within 30 business days of receiving the IRS notice.

A second notice for the same payee within three calendar years needs a second B notice. This time a W-9 won't do: the Social Security Administration or the IRS must validate the number. A corrected TIN alone needs no corrected 1099; use it on future forms.

A proposed penalty arrives as Notice 972CG. With reasonable cause, you have 45 days to respond6, and an IRS notice response letter helps you make the case.

When to bring in a professional

This guide covers US federal rules, and the template organizes the work; neither is tax advice. Bring in a CPA or enrolled agent for a close call on worker status, a penalty notice, or a state's own 1099 rules.

If a CPA prepares the business's return, send the payee list with the year-end tax package for your CPA. The template on this page tracks payees, W-9s, totals by box and each client's 1099 count, and River can fill it in from your payment records.

How to use this template

Use the files as they are, or open them in River. Send a year of vendor payments and the W-9s you have, for one client or your whole book. River logs each payee on the Payee Register and totals what was paid against the right line for each box. On the Filing Tracker, it adds up each client's 1099-NEC and 1099-MISC forms.

River doesn't run TIN Matching or decide anyone's worker status. It lists the name and TIN pairs ready to check, records the results you bring back, and points close classification calls to your client's accountant.

  1. Download it or open it in River

Get the two Word documents and four CSV sheets free, or open the template in River and send your payment records.

  2. Send each client's payments

Share a year of vendor payments and W-9s for one client or all of them. River logs each payee and totals them by box.

  3. Run TIN Matching yourself

River lists the name and TIN pairs ready to check. Run them through the IRS service, then tell River what came back.

  4. Count returns, then file

Check each client's 1099 count on the Filing Tracker, add its W-2s and other information returns, then file and send payee copies on time.

Common questions

What is the 1099 threshold for 2026?

For 2026 payments, the 1099 threshold is $2,000 for most boxes, up from $600. That covers contractor fees on Form 1099-NEC and rent, prizes, medical payments and other income on Form 1099-MISC. A few thresholds stay lower, including $10 for royalties and $600 for gross proceeds paid to a lawyer. The IRS says the $2,000 threshold may be adjusted for inflation from 2027.

What's the difference between Form 1099-NEC and 1099-MISC?

Form 1099-NEC reports what you paid nonemployees for services, such as contractors' and lawyers' fees. Form 1099-MISC covers other reportable payments, including rent, royalties, prizes, medical payments and settlement money paid to a lawyer. The 1099-NEC also reaches the IRS sooner: it's due January 31 (February 1 in 2027), the same day as the payee's copy.

When are 1099s due for the 2026 tax year?

Form 1099-NEC is due to both the IRS and the payee by February 1, 2027, because January 31 falls on a Sunday. Most 1099-MISC payee copies are due that day too. The IRS copy of a 1099-MISC is due March 1, 2027 on paper, or March 31 if you e-file. There's no automatic extension for the 1099-NEC.

Do I need to send a 1099 to an LLC?

It depends on how the LLC is taxed, which its W-9 tells you. An LLC taxed as a C or S corporation generally gets no form, unless you paid it for legal or medical services. A single-member LLC taxed as a sole proprietorship, or an LLC taxed as a partnership, gets one like any other contractor once your payments reach $2,000 in the year.

What if a contractor won't give me a W-9?

Start backup withholding: hold back 24% of each payment until they give you a taxpayer ID, deposit it and report it on Form 945. Once you've withheld, you must file a 1099 for them whatever the amount, with the TIN box left blank. Keep a record of each request, since avoiding a penalty for the missing TIN means asking up to three times.

Is this 1099 filing checklist template free?

Yes. Download the two Word documents and four CSV sheets with no signup. They come filled in for a made-up bookkeeping firm with six clients, so you can see how each sheet works before you clear it and add your own payees. Edit with AI opens the same template in a free River workspace instead.

What does Edit with AI do?

It opens the template in a free River workspace, asks which clients to start with, then asks for each one's vendor payments and W-9s. River logs each payee, checks every yearly total against the line for its box, and counts each client's 1099-NEC and 1099-MISC forms toward the 10-return e-file rule. It doesn't run TIN Matching or file anything with the IRS.
