NotebookLM Alternative for Client Work

Where NotebookLM answers what you ask, River checks a client's files against each other and writes the brief: sourced facts, contradictions and client questions.

Free to start. No card needed.

How to use NotebookLM on client files

Before you upload, check what your client agreement allows and which Google account you're using. Google's privacy page1 says notebook content isn't used to directly train its foundational models unless you give feedback. A thumbs up or down sends the related prompts, sources and outputs to trained reviewers, and Google keeps them, detached from your account, for up to 3 years. Most Workspace business and school editions are exempt from review and training, but Google's work account page2 gives some, such as Workspace Individual, the same terms as personal accounts.

Give each client its own notebook, so the sources stay separate. The free plan holds 50 sources per notebook, and Google's list of supported sources3 covers PDF, Word, PowerPoint, CSV and Google files, but not Excel. Export the tabs you need as CSV, or convert the workbook to Google Sheets, which Google caps at 100,000 tokens. Your notebooks also appear in the Gemini app, but keep client chats in Gemini Notebook itself. Google says data shared with the Gemini app1 is used under the Gemini Apps Privacy Notice, including for product improvement.

Then ask for what a brief needs, since the chat answers the question you ask, not the one you missed. Ask "Where do these files disagree on a figure, date or count?" and "What would a client brief need that none of these files covers?" Google's chat help page4 says answers cite quotes from your sources: hover over a citation to read it, or click it to see the passage in context. Check every figure that way, then save the answers you trust as notes, which keep their citations.

How it works

What's the best NotebookLM alternative for client work?

For client work, a good NotebookLM alternative checks the client's files against each other and writes the brief, without waiting for you to ask the right question. This River tool does both. Drop up to 10 of the client's files, such as board packs, decks and Excel workbooks, plus your call notes. River writes a brief in a doc: each fact with its file and page, the contradictions between files, the gaps they leave, and the questions to ask the client.

NotebookLM is still the better research notebook for many jobs, and it starts free. When Google renamed it Gemini Notebook5 in July 2026, it also began letting notebooks run code for data analysis, starting with its top paid plans. Google's chat help page4 now lists Word, Excel and PowerPoint among the files the chat can create, and calls these features experimental. For questioning a stack of reading, or listening to it as an Audio Overview, it is hard to beat.

River is built for the step after reading. When the board pack and the finance workbook disagree on a figure, the brief quotes both, each with its page or tab. Gaps become questions for the client, not guesses. In the same project space, ask next for a SWOT analysis from those files, a consulting proposal, or an interview synthesis once you have transcripts. How it works

From client files to a brief you can check

  1. Drop the files

Drop up to 10 client files, or paste your call notes and any answers saved from NotebookLM.

  2. River compares them

It reads every file, logs each fact with its page or tab, and checks the files against each other.

  3. Read the brief

Sourced facts, contradictions, gaps and client questions land in one doc in your project space.

  4. Take the next step

Turn the questions into an email to the client, plan the interviews, or start the next deliverable.

What you'll get

Client files turned into a sourced brief, compared with NotebookLM

  • Facts and figures from the files, each with its file and page
  • Every place two files disagree, quoted side by side
  • Gaps the files leave open, turned into questions for the client

Before and after

Client files in. A brief the partner can check.

What you drop in (example)

Marlow Vets' board pack (PDF), a finance workbook (Excel), the current price list (Word), a staff survey summary (PowerPoint), and your notes from the first call with the CEO.

Your client brief (example excerpt)

Key facts. Revenue: $21.4m in FY25 (finance workbook, P&L tab). Clinics: 14 small-animal practices in Ohio (board pack, p. 2). Where the files disagree. Clinic count: 14 in the board pack (p. 2) and 12 on the price list (p. 1). Has the price list caught up with the two newest clinics? Unconfirmed. The Dayton clinic is being sold this year. This is in your call notes only; the board pack doesn't mention it. Questions for the client. 1. Is the Dayton sale agreed, or still a proposal? 2. Which clinic count should the project use?

Every fact keeps its file and page, so anyone on the team can check a line against the source.

What lands in your doc

What's in your client brief

  • A short summary of each file you dropped, with page, slide or tab references
  • A key facts table where every figure keeps its unit, period, file and page
  • Contradictions between files quoted side by side, with what would settle each one
  • What the files don't cover, such as costs, headcount or recent changes a consultant would expect
  • Questions for the client, most important first, each tied to the gap or conflict behind it
  • Pasted notes and saved NotebookLM answers marked unconfirmed until a client file backs them up

Questions consultants ask

Common questions

What is NotebookLM?

NotebookLM is Google's research notebook, renamed Gemini Notebook in July 2026. You add sources such as PDFs, Google Docs, web pages or YouTube videos, then ask questions and get answers with inline citations. It also turns sources into Audio Overviews, mind maps, reports and slide decks. The standard plan is free with a Google account, and Google says more than 30 million people use it5.

Is NotebookLM good for consultants?

Yes, for research and getting up to speed on a client, if your account's terms suit client data. Its cited answers make each claim quick to check against the source. It answers the questions you ask, so a contradiction between two files can go unnoticed unless you ask about it. River's brief compares every file with the others on its own and turns the gaps into client questions.

Is NotebookLM safe for client documents?

It can be, on the right account and if your client agreement allows it. Google's work account page2 says most Workspace editions shield your files and chats from human review and AI training, but not Workspace Individual and a few others. On those and on personal accounts, rating an answer1 sends the exchange, sources included, to trained reviewers. River's privacy policy rules out training AI on your documents.

How many sources can a NotebookLM notebook hold?

Up to 50 on the free plan, each up to 500,000 words or 200MB, according to Google's supported sources page3. Paid plans raise the limit to 100 sources on Google AI Plus, 300 on Pro, and 500 or 600 on Ultra. On this page, River takes up to 10 files per drop, as Word, PDF, Excel, PowerPoint, CSV or text.

When is NotebookLM the better choice?

When you want to listen to your sources, study them or pull in the web. Its Audio Overview can give a spoken summary in under 2 minutes, and it makes flashcards, quizzes and mind maps. It reads Google Docs, Slides and Sheets, web pages and YouTube videos, and it starts free. Choose River when client files must become a brief with a source beside every fact.

How do I turn client files into a brief with River?

Put up to 10 of the client's files in the box at the top of this page, with your call notes if you have them. Coming from NotebookLM? Add the files from your notebook and paste any answers you saved. River treats those answers as notes until a file confirms them. The brief opens in your free River workspace, ready to edit or share.

Is this NotebookLM alternative free?

Yes, it is free to start. Your client brief opens in a River workspace, where you can edit it, share it or ask River to change it. Paid plans add more AI use and access to the most advanced models. NotebookLM's standard plan is free as well, and Google AI Plus, Pro and Ultra raise its limits.
