How to do a bank reconciliation

A bank reconciliation compares your bank statement with your cash records for the same month and explains every difference. On the bank side, you adjust for timing items, like deposits in transit and checks that haven't cleared. On the book side, you adjust for what only the bank knew about, like fees, interest and returned payments, and fix your own recording errors. Both sides should end on the same adjusted balance, and each book-side item becomes a journal entry.

Never force it to balance. A difference you can't explain is an item you haven't found yet.

When to do a bank reconciliation

Reconcile every account, including payroll and merchant accounts, as soon as each statement arrives. The IRS advises small businesses to reconcile their checking accounts each month1. New York's State Comptroller is stricter: state agencies must reconcile within 5 to 7 days of each month-end2.

Speed also matters legally. Under the Uniform Commercial Code (UCC), in the version most states use, you must examine your statement with reasonable promptness3 and report forged or altered checks.

Miss a forged check, and later ones by the same forger can become your loss once you've had a reasonable time to review, 30 days at most. A year after the statement is made available, you can't make the bank cover an unreported forgery or alteration, no matter who was careless.

FinCEN, the Treasury's financial crimes bureau, studied six months of reports on checks stolen from the mail. Its 2024 analysis found 44% had been altered and then deposited4. So open the images of cleared checks and compare the payee as well as the amount.

Gather your records and match every line

  1. Collect three things

The bank statement with images of cleared checks, your ledger's cash detail for the same dates, and last month's reconciliation.

  2. Check the starting point

The statement should open at last month's closing balance and the ledger at last month's adjusted balance. If the ledger doesn't, last month's entries weren't posted or someone changed a closed month.

  3. Tick off deposits

Match each deposit on the statement to your records by date and amount, starting with last month's deposits in transit.

  4. Tick off checks and payments

Match cleared checks by number, amount and payee, then electronic payments, starting with last month's outstanding checks.

  5. List what's left

Items only in your records are usually timing items. Most items only on the statement go on the book side; bank errors are the exception.

Match against the ledger's line-by-line detail, not just its ending balance, because a balance can agree while the lines inside it are wrong. If your bank only gives you PDFs, a bank statement PDF converter turns them into rows you can sort and match.

Adjust both sides until they meet

OpenStax, Rice University's free textbook publisher, lays the reconciliation out with adjustments to both the bank balance and the book balance5. Each difference goes on exactly one side.

One question decides which: will it clear without an entry in your books? If yes, and you can say when, it's a bank-side item. Everything else goes on the book side, including anything you can't identify.

ExampleA month-end reconciliation, worked throughAn illustrative example written for this guide. The figures are made up.

Bank side: statement balance $18,420.00, plus a $2,150.00 deposit in transit, minus outstanding checks 1047 and 1049 ($1,855.00). Adjusted balance: $18,715.00.

Book side: ledger balance $18,949.00, minus a $25.00 service fee and a $210.00 returned customer check, plus $19.00 of interest, minus an $18.00 recording error. Adjusted balance: $18,715.00.

  • Only the book side posts. The fee, returned check, interest and error become four entries; the deposit and two checks clear by themselves.
  • The $18.00 clue. Check 1045 cleared at $86.00 but was recorded as $68.00. A difference divisible by 9 often means swapped digits.

Never add a plug

A line labeled "unreconciled difference" makes every reconciliation balance and hides the error you're looking for. If the sides don't meet, leave the account open until you find the item.

Post the book-side entries

Only book-side items change your ledger. The IRS's walkthrough tells you to update your books for anything you missed or recorded incorrectly1, such as service charges. Date each entry in the month you're reconciling.

A bank fee debits bank charges and credits cash. Interest debits cash and credits interest income. A returned customer check debits accounts receivable and credits cash, because the customer owes you again.

Watch for repeats. If the same fee turns up every month, set up a recurring entry or a bank rule in your accounting software.

Follow up anything that doesn't clear

Date every open item from the day you issued or deposited it, not the day you noticed it. A deposit in transit should post within days. If it isn't on the next statement, the money may never have reached the bank.

Don't void a check just because it's old. Under the UCC, a bank doesn't have to pay a check presented more than six months after its date6. But it may still pay one in good faith and charge your account, so a check voided in your books can clear and leave them overstating cash.

Recording an old check as income is the bigger mistake. You still owe the payee, and if the check is never cashed, state unclaimed property laws eventually make you report it and turn the money over. In Delaware, for example, most uncashed vendor and payroll checks are presumed abandoned five years after they become payable7. That leaves four proper ways to close it out.

  • Reissue it, after a stop payment, if the payee is still owed and reachable.
  • Reverse it to the original account if the payment itself was a mistake.
  • Hold it and keep contacting the payee, with a named owner and a next date.
  • Report it to the state once the waiting period ends.

When to bring in an accountant

Tell your bank right away about an altered or forged check, then call an accountant. Get help too if a difference survives a second search or old checks pile up. Unclaimed property rules differ by state, so ask before you file your first report.

Have someone else review it

The person who handles the money shouldn't reconcile it. New York's comptroller tells state agencies that whoever approves transactions or handles cash receipts should not perform the reconciliation2. It also wants a supervisor who took no part to review and sign each one. In a small business, that reviewer is often the owner.

Reviewers should start where judgment was used: the book-side entries and anything carried over from earlier months. Check the totals last, because a reconciliation with a plug always totals.

Before you sign off

  • Both opening balances tie to last month's signed-off reconciliation
  • Every bank-side item will clear on its own, on a date you can name
  • Every book-side item has an amount and a journal entry
  • There is no plug line, and nothing was voided to income
  • Every check older than six months has an owner and a next step
  • Cleared check images match the payees and amounts you wrote

Reconciling the bank is one step in your month-end close checklist. Once cash ties out, use the balance sheet reconciliation template for every other account. To skip the matching by hand, open this template in River, which reconciles your statements and dates every open item for you.

How to use this template

Use the files as they are, or open them in River. Send River your bank statements (PDFs, exports or photos are fine) and your ledger's cash detail for the same month. It reconciles each account on both sides, writes the book-side entries with amounts, and dates every open check against the six-month mark. Any account that doesn't balance stays open, with the size of the gap.

  1. Download it or open it in River

Get the four Word documents and five CSV sheets free, or open the template in River to work with AI.

  2. Send statements and ledger detail

Share each account's statement and the ledger's cash detail for the same month, plus last month's reconciliation if you have it.

  3. Reconcile both sides

Fill in Reconciliation by Account yourself, or let River do it. Accounts that don't meet stay open until the gap is found.

  4. Chase open items, then review

Post the book-side entries, follow up old checks, and have someone else review the work with the Review Note.

The 24,660.00 in Bank Errors is a claim filed against the bank on a check altered from 2,740.00 to 27,400.00, not a note. It leaves the sheet when the bank credits it, and until then it is on the bank side because it resolves on a date somebody can chase.

Sable Ridge is the only row carrying a computed report date, because it is the only payee with no address anywhere in the vendor master. With no last known address the holder's own state of incorporation takes it, so Delaware's five year schedule applies. Every other row names the state whose table has to be opened.

Common questions

How often should you do a bank reconciliation?

Every month at least, ideally within a week of the statement date. The IRS recommends reconciling business checking accounts monthly. Timing matters legally too. Under the Uniform Commercial Code, you can't make the bank cover a forged or altered check you haven't reported within a year after the statement was made available. Busy accounts are worth checking weekly.

What is the difference between a deposit in transit and an outstanding check?

A deposit in transit is money you've recorded and deposited that the bank hasn't posted yet, so you add it to the bank balance. An outstanding check is one you've written and recorded that hasn't cleared, so you subtract it. Both are timing differences on the bank side, and neither needs a journal entry.

Why doesn't my bank reconciliation balance?

Usually an item is missing, doubled or mistyped. First confirm both opening balances match last month's reconciliation. Then look for one item equal to the difference, or to half of it, which suggests an entry on the wrong side. If the difference divides evenly by 9, look for two swapped digits. Never close the gap with a plug.

What should I do with an old outstanding check?

Contact the payee and decide how to close it out, but don't turn it into income. Reissue it if they're still owed, reverse it if the payment was a mistake, or keep it open while you follow up. If nobody ever claims it, state unclaimed property law will eventually require you to report it.

Who should prepare and review a bank reconciliation?

Ideally, someone who doesn't handle cash or approve payments prepares it, and a second person reviews and signs it. That split makes it hard for one person to take money and hide it. In a two-person office, the owner can check the bookkeeper's work each month.

Is this bank reconciliation template free?

Yes. Download the four Word documents and five CSV sheets with no signup. The sheets come filled with an illustrative month for a made-up company, so you can see how each one works before you clear it. Edit with AI opens the same template in River.

What does Edit with AI do?

It opens the template in a free River workspace. Send your statements and ledger cash detail, and River works through each account's bank side and book side, lists the entries your books need and dates every open check and deposit. It never forces a balance, and it doesn't post anything to your accounting system.
